Description

The Citizenship Clerk plays a key role in supporting the administration of citizenship records for the Nation. This position is responsible for data entry, maintaining accurate records, and assisting citizens with their applications and inquires. The Citizenship Clerk ensures documents are organized, scanned, and stored properly, supporting the citizenship team with day-to-day tasks and contributing to the smooth operation of the department. While data heavy, there are many opportunities to learn about clans, clan structures, and Haida history. The traditional and cultural knowledge in this role is pivotal and is held in high regard.

KEY DUTIES & RESPONSIBILITIES
  • Perform accurate data entry and updates in the citizenship database.
  • Follow-up with applicants to collect and update registration applications.
  • Support report writing, document scanning, and organizing the filing system.
  • Maintain confidentiality and uphold privacy standards in handling sensitive information.
  • Assist citizens in understanding and completing application forms, including managing clan tree information.
  • Collaborate with the Citizenship Manager and other team members to ensure timely processing of applications.
  • Communicate effectively, both verbally and in writing.
  • Carefully examine support documents to determine citizen acceptability for registration purposes.
  • Ensure the integrity of the Haida Citizen Register is always maintained.
  • Operate within established policies and procedures.
  • Other duties as assigned

QUALIFICATIONS
  • High school diploma (Grade 12) required.
  • Valid Class 5 Drivers License is an asset.
  • Previous experience in data entry, filing, and document management.
  • Proficiency in Office 365 and AIS Indigenous Communities Administration Software (or willingness to learn).
  • Strong organization skills with the ability to prioritize work and manage time effectively.
  • High attention to detail and accuracy in record-keeping.
  • Excellent communication skills and customer service mindset.
  • Familiarity with Haida culture and community engagement is an asset.
  • Willingness to travel and attend public events as required.
  • Experience working in a First Nation's organization with administration duties.

The Citizenship Clerk is a 1-year contract position starting July 2, 2025.

$24.43 - $27.48 per hour based on experience, Full-time 35-40 hrs. per week
